Public Calendars
Public calendars let you publish a calendar of dates and events for a community, school, team, or project. Create one from the Dashboard, then share its public page:
https://calendaria.co/c/<slug>
The page is for sharing a calendar of events. It is different from a booking link, where someone chooses a free slot with you, and a group invite, where people RSVP to one fixed event.
| Use this | When people need to |
|---|---|
| Public calendar | View or subscribe to a schedule of published events. |
| Booking link | Choose an available time to book with you. |
| Group invite | Join one event whose date and time are already set. |
A public calendar shares event details
Anyone with the public link can see the published event title, time, location, and description. The page is not indexed by search engines, but a link can still be forwarded. Only add content that is appropriate to share.
Visual walkthrough
Follow the Create and publish a public calendar walkthrough for screenshots of the complete setup flow.
Create and manage a calendar
Sign in to the Dashboard and open Public calendars. You can create and manage your own calendars there; creating a public calendar is not a chat command.
Give the calendar a name, optional description, and timezone. Calendaria publishes its public link when you create it. From the same page, you can copy the links, add events, refresh a linked source, or delete the calendar.
Choose the timezone deliberately
Event times are interpreted and displayed in the calendar's timezone. Set it to the timezone your visitors should use for the schedule.
Add events
Each calendar can combine these sources:
- Manual events — add a title, start and end time, optional location, and optional description.
- ICS import — paste the contents of an ICS file. A new ICS import replaces the previous imported ICS events, while manual events remain.
- Connected source — choose a connected calendar that appears in the selector. Calendaria copies its events into the public calendar.
For a connected source, Calendaria performs an initial refresh, offers a manual refresh control, and refreshes linked calendars about every 15 minutes. This is a one-way, read-only projection: Calendaria never writes back to Google Calendar, Outlook, or an ICS source through this feature.
If a source becomes disconnected or cannot be reached, the calendar shows that its sync needs attention. Its last copied events remain visible until the source can be refreshed again.
Share the public view
The public page includes a monthly calendar, upcoming events, and each published event's title, date or time, location, and description when provided. Its feed includes the same published event details.
Visitors can select Subscribe to calendar and:
- open the feed in Apple Calendar
- add it in Google Calendar on the web
- add it in Outlook on the web
- copy the ICS feed URL or download an ICS file for another compatible calendar app
Calendar apps decide when they fetch a subscribed feed, so an update can appear later than the next Calendaria refresh.
Share only busy times
Every public calendar also has a separate busy-only view and ICS feed for people who only need to know when the calendar is occupied.
The busy-only view shows time blocks without event titles, descriptions, or locations. Its ICS feed labels events as Busy. Share this link privately when event details should stay hidden.
Private sharing is not access control
A busy-only link is designed for private sharing, not as a password. Anyone it is forwarded to can see the busy blocks, so send it only to people who should have that information.
Ask about a shared calendar in chat
The public and busy-only pages each show a chat code and direct links for Telegram and WhatsApp. A visitor can use them to ask about the shared calendar without changing it.
- The public code can answer questions about the event details that are published on the public page.
- The busy-only code can answer only whether times are busy or free.
- Shared-calendar chat is read-only: it cannot create, edit, delete, reschedule, invite, subscribe, or change reminders.
- Each shared calendar has 500 read-only chat actions per calendar month, shared by all people and chat surfaces using that calendar.
The public code is visible on the public page, so it is a convenience for opening chat, not a secret or an ownership control.
Delete a public calendar
Deleting a public calendar permanently removes its public and busy-only links, events, WhatsApp subscriptions, and shared-chat data. It does not delete events from a source calendar that was linked to it.
If you only need to stop sharing details, delete the public calendar or share its busy-only link instead. Do not rely on an old public link staying private.
Troubleshooting
My source calendar is not refreshing. Check that the source account is still connected in the Dashboard, then use Refresh from Public calendars. If it was disconnected, reconnect it before refreshing.
An imported event came back after I deleted it. Events from an ICS import can return on the next import. Delete or change the event in the source ICS file, or use a manual event when you need independent control.
A visitor cannot see an update yet. First refresh the linked calendar if needed. A subscriber's calendar app may then take additional time to fetch the updated ICS feed.
